- On the way. The answer to the arrival-window problem. Clients who are home can put the dog away and clear the counters; clients who aren’t know someone is about to be in their house.
- Cleaning complete — with a photo. A finished kitchen or bathroom photo is proof the visit happened and a small moment of delight when the client is stuck at work. Add a line from the cleaner if anything is worth mentioning.
- Schedule changes. Holiday weeks, a sick cleaner, a moved appointment. Recurring clients plan around you — tell them early.
- Questions during the visit. “Do you want us to skip the guest room today?” is a 20-second text exchange that saves a complaint later.
Before-and-after photos: what to send and what to keep
Before-and-after photos do two jobs. The after photo is for the client — it shows the work. The before photo, and any photo of existing damage (a cracked tile, a stained rug, a chipped vanity), is for you — it protects you when a client later asks whether the damage happened during the cleaning. Lead with the after photo in the completion text. Keep the before and damage photos on the visit record too — labeled, dated documentation that both you and the client can point to. If there’s damage to discuss, start with a call rather than a text.
What to keep out of texts
- Door codes, garage codes, alarm codes, and lockbox combinations. Store them in the client record where the assigned cleaner sees them at the visit.
- Card details or payment links from shortened URLs. If a card fails, send a link from your own domain or ask the client to update it in their account.
- Complaints and damage disputes. Acknowledge by text, then call. Tone gets lost in text, and these conversations are worth five minutes on the phone.
- Cleaners’ personal numbers. Clients end up texting cleaners directly to rebook, and you lose the client when the cleaner leaves.
Marketing texts that work for cleaning companies
Cleaning has natural promotional moments: spring deep cleans, move-in and move-out cleanings, pre-holiday cleans before guests arrive, and add-ons for recurring clients (inside the oven, inside the fridge, interior windows). A text to opted-in clients a few weeks before each one fills the calendar.
